I have a special needs student, an ESL student, or a student who requires certain accommodations be made. What do I do about that?
If your student has a specific requirement to make their day a positive experience (for instance if they need an Express pass because they are required to work that afternoon and cannot otherwise participate) you can send an email to the Regional Director with the requested accommodations. You'll need to include the student's name and the entry ID number from their forms in your email.
How do I pay my invoices?
Teacher payments will now be paid directly to TAEA Headquarters in Dallas. They are able to take payment using POs, over the phone using a credit card, or you can mail in a cash or check. Please be aware if you are mailing a check to make sure the check is in Dallas before the day of the event or you will not show as paid.
What if I have only paid part of my entry fees or haven't paid them at all by the event?
The teachers's entire invoice must be paid for students to participate. If the invoice is only partially paid NONE of the teacher's students will be judged until the invoice is paid in full. On the day of the event invoices may only be paid in cash.
I missed the deadline to create a student entry or forgot to edit one before the deadline passed?
Deadlines are set by the State Director for TAEA. Regional Directors, Site Managers, Juror Foremen, and Qualification Foreman cannot make adjustments to your entries after the posted deadlines.
Are other people allowed at the event?
Parents and family of students are allowed at the event but may only be in the VASE Exhibit in the gym, cafeteria and concession areas or food trucks. Under no circumstances should a parent or family member enter the judging area, the control rooms, or other areas of the campus. The Sponsor teacher is responsible for any visitors brought to the campus and may not leave until all their visitors have departed.
If my student is disqualifed at the event, does not meet UIL standards, or does not show up can I be refunded?
No. Once the deadline passes for teachers to create new student entries the number of entries you are invoiced is final. After that date the event staff have already begun ordering medals, hiring jurors, campus personnel, and purchasing other things required for your student to have a successful VASE event. If you know that the student will not make it before your final editing deadline you can always change the information to fit a new student before the last day to edit. Students who are scheduled to attend but do not make it will be scored as a DNA (Did Not Attend).
What if I have a conflict and cannot come back to get my artwork?
You will need to make arrangements with another teacher in your district to collect your artwork and sign out forms. Paperwork and art cannot be left at Rowlett High School unless the student has qualified for State and is getting shipped to that event. If your student is selected for State and you aren't present to sign the appropriate forms you will need to mail them to the Regional Director.
