Registration Deadlines:*Number of entries for each teacher at this deadline is FINAL. Teachers will be billed for the total number of entries and all entries must be paid for before any students are allowed to participate for that teacher. Please register students in the correct division even if you plan to change the names so the proper number of medals can be ordered.

- When you arrive on campus you will leave your students on their bus and go to the teacher registration area to check in. Event staff will ask you if you have any students who were registered but will not attend. Those students will be entered as a DNA. You will get judging forms for your remaining students. You should also sign up for the 10E Remind 101 if you haven't already done so. It is highly encouraged that all teachers brief their students on where to meet them when they arrive at the event. VASE staff will not be able to watch students so teachers must be monitoring them at all times in the public areas of the event.
- Pass judging forms to students paying careful attention to the entry ID numbers if a student has multiple pieces being judged. You can attach the judging form to the art with a very small piece of tape if needed to keep students from getting confused. Check to make sure all students have your cell number and that your phone is turned on in case VASE staff need to get in touch with you regarding a student or their artwork.
- Escort students to the qualification lines. 2D and 3D work will have separate qualifications lines so you may choose to stand in the common area just past the lines so you can meet students as they come out. Stay with your students in case any problems arise at qualifications so you can help correct them. 10E does provide an area for teachers to make small adjustments to their artwork if necessary to avoid a DQ. Disqualified students WILL NOT be judged. If the problem is a small one, like over-sized matting that can be quickly trimmed you will have a chance to make adjustments but students can not complete or make major changes to their artwork on our campus.
- Escort your students to the cafeteria to wait for judging. Help them monitor the times being called and send the student with their artwork and their forms to the judging area approximately 15 minutes before their scheduled time. The screen at the front of the common area will let you know which times have been called to be judged. Students who have two appointments should only take one piece of artwork with them at a time unless the appointments are within 30 minutes of each other. While it is tempting to give your students permission to simply get their second appointment out of the way before their scheduled time or jump in line a little early, doing so causes delays and confusion for other students.
- While you are waiting you can practice interviewing with the students or review concepts with them if you would like. You MAY NOT work on artwork to be judged while waiting for judging or make alterations to the paperwork on the back of the artwork.
- If the VASE Exhibit is open students may go to the exhibit as long as they have your phone number. Students are also welcome to visit the vendor booths and concession stands located in the front of the school and outside the VASE Exhibit.
- Never leave artwork unattended in the waiting areas
- The student will go by themselves to the judging area and return to the cafeteria when they have finished their appointment. If your student has friends/family with them at the event please let their loved ones know that only VASE students are allowed in the judging area.
- After judging the student will leave their artwork with the judge and VASE staff will transport it to the control room to verify scores and sort. If your student scored a 4 rating their artwork will be taken to the gym area for display and to be judged for State. 3's and lower are taken directly to sorting for you to pick up when the event is over. Please do not send students back into the judging area to find out where their artwork is or request VASE staff look up their scores. If your artwork has not appeared in the gym within two hours of judging and you are concerned notify a VASE staff member and they will help you.
- Students who have had all their artwork judged may leave the event if you give them permission to do so. Teachers will need to stay until all their students and any of their visitors have left. You may wait at the campus until it is time to pick up artwork or leave and come back.
- After all individual judging is complete and jurors have had a short lunch break the VASE Exhibit will be closed and artwork will be selected to move on to the State level. State level artwork will be kept by the Regional Director until the State event. Work that does not qualify for State will be sent back to sorting for you to pick up the same day. If you have a student that qualifies for state further information will be given to you. More information about the State event can be found on the TAEA website.
- A text message will be sent letting you know that the event is over as soon as regional judging is complete, scores are entered, and artwork has been returned to sorting. This is usually about 4:00 PM. You will come to the back door of the commons (large glass doors that you can see when you are waiting for judging) to pickup your artwork and check out. In the check-out packet will be a list of your student's results, their judging forms, and any medals they have earned. Double check the results against the judging forms, count to ensure you have all your medals, and sign the receipt. If you notice an error between the score on the judging sheet and the score entered into the computer you can notify the VASE staff and we will correct it. Judges scores are final. Artwork will be picked up using the door on the side of the courtyard. You may pull up the drive to load artwork if necessary.
- Follow your personal plan for getting artwork/results back to the students. Artwork cannot be left at Rowlett High School.
